How to use the job card
- Start at the counter. Give the job a unique number. Write the customer's concern in their own words, and confirm vehicle and contact details.
- Separate findings from approved work. Record the quote and approval reference before adding repair tasks. If a technician finds extra work, obtain approval before proceeding.
- Record the work as it happens. Note technician time, parts quantities and any measurements. Keep deferred recommendations distinct from completed tasks.
- Review before handover. Check the agreed tasks and parts, record any remaining concerns, and pass the same job reference to the invoice.
A completed example
The example uses a fictional routine service: the customer reports a squeak, the technician records a finding, and an additional repair remains deferred. It shows how to keep the concern, authorised tasks and later recommendations separate. All names, vehicle details and job information are illustrative.

Job card questions
What should a mechanic job card include?
Record the job number, customer and vehicle, odometer, customer concern, agreed work, approval reference, assigned technician, labour time, parts used, findings and final handover. Keep the quote and invoice linked by the job number.
Is the job card a quote or invoice?
No. This template records workshop work. Use a separate quote for prices and customer authorisation, and a separate invoice for amounts due. Record the references on the job card.
Can I edit the template?
The PDFs are designed to print and write on. Use the free CSV version in your spreadsheet app if you want to change labels or add rows, then adjust the print area to suit your workshop.
