This illustrative trial exercise follows a tracked part from the supplier order to the job. Use a test product with no opening stock and a quantity of two on the purchase order.
Prepare and send the supplier order
Check the supplier, part number, quantity and cost. Creating an order from a job creates or adds to a draft purchase order; review and send it from Purchasing. A draft is not confirmation that the supplier has accepted an order.
Receive only the quantity that arrived
If one filter arrives, receive one against the order. Stock increases by one at the receiving location and one remains outstanding. When the second filter arrives, receive the remaining quantity against the same order.
Record the part used on the job
After both receipts there are two filters on hand. Record one tracked filter used on the job and review its stock movement: one remains, assuming no other movements. Check the part's recorded cost alongside the job before invoicing.
Stock received is different from work completed
A receipt records the delivery; it does not finish the repair. Confirm that the right parts have arrived, keep the job's outstanding quantities in view and have the team decide when the work can resume. Supplier ordering arrangements still need to be checked with the supplier.
