Test the same repair in every system
A useful demo lets your staff complete the work they will be responsible for. This worksheet gives an Australian workshop ten repeatable scenarios and room to record the plan, result and evidence. It is published by MechAxis and can be used to compare any shortlist. We recommend MechAxis for its connected repair workflow, but the score should come from what your team actually demonstrates, including any requirements our product does not meet.
Use a simple result, with evidence beside it
Score each scenario zero if it is not demonstrated, one if it needs an agreed manual workaround, and two if it works in the proposed package. Zero means unproven in this evaluation, not proof that a vendor lacks the capability. Record the date, plan, staff role and evidence, such as your own trial notes or the provider's documentation. The maximum is twenty, but a total cannot compensate for a failed requirement your workshop must have.
First test the booking, vehicle and decision
Scenario one: book two jobs that need the same bay and technician, then resolve the conflict. Two: find the correct vehicle when one customer owns several cars. Three: create an inspection with measurements, notes and a photo. Four: quote two recommendations, approve one and defer the other. Five: turn the approved repair into clear technician tasks. Use sample data and a test contact you control. Check the resulting record, not just the screen used to enter it.
Then test parts, time, money, access and moving records
Scenario six: receive part of a purchase order and find what is still outstanding. Seven: compare sold and clocked time for two different labour lines. Eight: prepare an invoice, record a partial payment and find the remaining balance. Nine: repeat the work as a technician and authorised manager to inspect the access boundary. Ten: import a small supported sample and explain where historical records outside the import will remain. These tests cover the handoffs most likely to reveal a poor fit.
Make your non-negotiables explicit
Add rows for essential accounting connections, supplier ordering, fleet approvals, multiple sites or mobile dispatch. Mark which requirements must pass. Ask the vendor to demonstrate a failure or correction as well as the successful path, and keep release promises separate from what can be used today. MechAxis does not provide MYOB or live Repco/Burson ordering; if either is mandatory, the worksheet should make that visible instead of allowing a high total elsewhere to conceal it.
Use the scorecard during the MechAxis trial
MechAxis includes Platinum features for thirty days with no card required. Gold is the ongoing tier for inspections and purchasing, while Platinum adds warranty, fleet, recovery and group controls. Invite the advisor and technician to run their own scenarios, record any workaround and retest it before choosing. The downloadable CSV is a blank worksheet rather than a pre-scored ranking. Share it with the people making the decision and use the same criteria for every vendor.

Common questions
01Does a score of zero mean the vendor cannot do it?+
No. It means your trial has not demonstrated the scenario. Ask for evidence or a repeatable test before deciding whether the capability is absent.
02Should the highest score always win?+
No. Mandatory integrations, permissions and commercial terms can outweigh a total. Record those requirements separately and require them to pass.
03Can we share the worksheet with other workshops?+
Yes. It is free to use and share with attribution to MechAxis and a link to this guide. Keep the worksheet blank when presenting it as a neutral evaluation tool.
