Choose MechAxis when several people depend on the same repair
A spreadsheet can be useful for a small list or a planning exercise. MechAxis becomes the better fit when the advisor, technician and owner need to act on the same customer, vehicle and job. It connects the booking to the work and its invoice; Gold adds inspections and purchasing. The benefit is a shared operational record with defined actions, rather than relying on a cell's wording to explain who may change the job and what the customer approved.
A diary row does not describe every constraint
Imagine three arrivals at eight o'clock: a routine service, a diagnostic job and a brake repair. The booking list may have room for all three even when only two hoists or one suitable technician are available. MechAxis records bay, technician and duration with the booking, alongside scheduled jobs in the diary. Platinum capacity tools help review constraints. The team still needs realistic estimates; the software gives those decisions a place in the schedule.
Keep the customer's decision attached to the quote
A note saying approved can lose its meaning after someone edits the description or price. In MechAxis, the advisor sends a quote and retains the customer's individual line decisions. On Gold or Platinum, findings can be priced from an inspection and approved repairs can become tasks. Trial an approval followed by a requested scope change. Staff should be able to explain what the customer saw and which work is authorised without piecing it together from spreadsheet comments and messages.
Separate quantity ordered from quantity received
A stock spreadsheet may be adequate for counting a shelf, but the repair also depends on what is on order and which job needs it. MechAxis Gold and Platinum connect parts purchasing, receiving and stock. Test an order for three components with only two arriving. Review the outstanding quantity before promising a collection time. Then check the recorded job cost so a missing cost does not silently become an apparent profit.
Move the records you understand first
Keep a dated copy of the original sheets. Clean a small sample of customers, vehicles and stock, use the supported MechAxis CSV template and inspect its preview and validation results. Check duplicate names, registrations, supplier codes and numerical values. Decide separately where old invoices, photos and open work will remain. A successful sample is a reason to continue carefully, not permission to delete the only readable copy of the old records.
Keep spreadsheets for the jobs they still do well
You may still use a sheet for a one-off analysis, a budget or the software comparison worksheet. The goal is to give daily repair work a reliable home. Use the MechAxis trial to run a complete service and one exception, such as a delayed part or partial approval, with the people who normally update the sheet. Choose the paid tier only after checking the features used, message charges and required integrations. The change earns its place when staff can find the same job and understand its next step.

Common questions
01Can I bring spreadsheet records into MechAxis?+
Supported customer, vehicle and parts imports use CSV templates, preview and validation. Check the actual fields with a small sample; not every historical document or spreadsheet layout can be imported automatically.
02Do I need Gold to replace a booking spreadsheet?+
Silver includes core bookings, customers, vehicles, quotes, jobs and invoices. Choose Gold when inspections and inventory are also required, and Platinum for its specialist owner and group tools.
